This policy explains what personal information XploreVietnam collects through xplorevietnam.org and our client portal, XploreVietnam Navigator (navigator.xplorevietnam.org), why we collect it, who we share it with and the choices you have. What we collect
- When you contact us or request a call: your name, email address, phone or WhatsApp number, what you need help with and anything you write in your message.
- When you subscribe or take the city quiz: your name, email address and, for the quiz, your result.
- When you buy a service on our website: what you ordered and, from our payment provider Stripe, your name, email address, phone number and billing address. Card details are entered on Stripe's secure page and are never seen or stored by us.
- When you use Navigator: your email address and login, the answers you give during onboarding (such as nationality, country of residence, planned move date, visa route, sponsor and destination city), the names of any dependents you add, the documents you upload for your visa checklist, your profile photo if you add one, your checklist progress and your Cost of Living Calculator answers.
- Technical information: like any website, our hosting provider receives your IP address and browser details when you visit. Navigator uses essential cookies to keep you logged in.
Why we use it
- To answer your questions, arrange calls and prepare quotes.
- To provide the services you buy, including preparing and submitting applications on your behalf.
- To take payments and keep records of them.
- To run Navigator: your checklists, timelines and dates are built from your answers.
- To send our newsletter, only if you subscribed. You can unsubscribe at any time.
We do not sell your personal information.
Who we share it with
We use trusted providers to run our website and services. They process your information on our behalf:
- Supabase: database, logins and document storage (hosted in Singapore).
- Vercel: website and Navigator hosting.
- Stripe: card payments.
- Zoho: our email.
- Google Fonts and YouTube: fonts on our pages, and videos when you press play.
When your application needs it, we share the relevant documents with the Vietnamese authorities and, where needed, with the professionals who work on your case, such as notaries and translators. We only introduce you to a partner in our network with your agreement.
How we protect it
Information is encrypted in transit. Documents you upload to Navigator are kept in private storage that only you and the XploreVietnam team can open, and every account can only see its own information.
How long we keep it
We keep your information for as long as we need it to provide our services and meet our legal and accounting obligations. You can ask us to delete your account and documents at any time.
Your choices and rights
You can ask to see, correct or delete the personal information we hold about you, or ask us to stop using it for a purpose. Email info@xplorevietnam.org and we will respond as required by the data protection laws that apply to you, including Vietnam's.
Changes
We may update this policy. The date at the top shows when it last changed.
